REQUIREMENTS: To excel in this role, you should have a strong understanding of accounting and management principles

  • Quickbooks Online: 2 years (Required)
  • Bookkeeping: 3 years (required)
  • Management experience of other staff: 2 years (required)
  • Strong organizational skills with the ability to multitask and sometimes work under pressure.
  • Excellent verbal and written communication skills.
  • Strong analytical skills with attention to detail
  • Research skills
  • Bilingual: English and Spanish is a PLUS!
  • Quickbooks Pro: is a PLUS!

JOB RESPONSIBILITIES INCLUDE (but are not limited to):

  • Punctuality and Dependability
  • Advanced knowledge in QuickBooks Online.
  • Payroll processing and ensure accurate calculations
  • Establish/maintain systems to track income, expenses, and other financial activities.
  • Maintaining Records of Financial Transactions: Record daily financial transactions accurately ie: bills, payments, PO’s. Verify the correctness of entries.
  • Ability to perform and manage the entry of others – data entry tasks such as timesheets, PO’s, bills, payments
  • set up and maintain various financial accounts, such as bank accounts, expense accounts, and revenue account
  • Maintain a balanced general ledger by updating it regularly and maintain general ledger
  • Conduct account reconciliations and resolve any discrepancies
  • Process accounts payable and ensure timely payments to vendors
  • Perform weekly billing, monitoring of accounts receivable, deposits and income recognition.
  • Generate financial reports and provide insights to management: such as profit and loss, income statements and balance sheets, cash flow reports, and year-end reports.
  • Tax duties such as paying sales tax, preparing and submitting 941’s and TWC reports, W-2 and 1099 Forms, etc. File necessary documents for taxation compliance
  • Maintain Human Resources Files such as: Copy of driver’s license, trade license, employee insurance status, vacation usage
  • Assist in the process of incorporation of new employees: new hire onboarding, payroll set, up, insurance set up
  • Supervise the customer service, dispatching, bookkeeping staff, marketing staff and VA’s. This includes management of Job Descriptions, Standards of Performance and conducting Performance Review
  • Develop and deliver training materials for the customer service, dispatching, bookkeeping staff.
  • Manage the IT vendor to ensure the IT system is functional and uninterruptible including decisions about technical support needs
  • Keep the office well organized and in good repair.
  • Monitor office supply levels and reorder as needed.
  • Back up CSRs as needed
