Explore our legacy, projects, and opportunities atSummary: This position provides administrative support functions to the Pipe Fabrication Shop to ensure the collaboration efforts of office coordination and fab shop operations. The incumbent is responsible and accountable for the accurate and timely processing of assigned tasks.Key Responsibilities:
- Create and update Stratus Work Packages as directed by the Superintendent/Manager to accurately track the shop progress of work through the shop and delivery to the field.
- Maintain and update Field Ticket Work Packages including quantification diameter inch and joint counts from ISO’s for spool tracking, information, and productivity.
- Requisitions fabrication materials for projects as needed and maintains the follow-up of material control logs by project and backorders.
- Develops and maintains document control systems and ensures filing systems are updated, organized, and orderly; items are filed within 2 business days of receipt.
- Supports Shop Superintendent as needed by setting up project files, job set-up data, and other duties as required.
- Supports Superintendent/Manager(s) as needed by making required business arrangements, acting as liaison in absence, and keeping him/her informed of urgent developments.
- Performs specific duties such as maintaining reference area organization daily, including document updates and completing in a timely manner.
- Coordinates shipping/receiving with fab shop shipping department, job sites, project managers, trucking companies, and suppliers.
- Learns, keeps current on, and utilizes available company technology including PCs, related software, and other office equipment.
- Assists and provides administrative support and guidance to other staff to ensure timely and accurate task completion.
- Disseminate office correspondence both incoming and outgoing, inclusive of phone messages, files, and payroll checks
- Invoice router – Verify phase codes, correct project numbers, and contracts are written
- Information/document control support tasks
- Assist with keeping the office area organized
- Maintain office supplies and inventory
- Perform additional tasks as assigned
Relationships:
- Maintain proactive and positive relationships within the crafts, including shop and field craft personnel.
- Foster positive relationships with customer representatives, vendors, suppliers, subcontractors, safety, CAD/BIM, accounting, IT, and all project teams.
Experience / Qualifications:
- Previous administrative support experience administrative support experience; preferably in the construction field
- Computer proficiency with MS Excel, Word, Outlook and Smartsheets
- Prior experience with Stratus preferred
- Skills and ability to work collaboratively and professionally with customers/clients, operations managers, field, and office personnel
- Must have a valid driver’s license
- In-person work is required and essential
- Regular and reliable attendance is required and essential

- Self-directed and able to work with limited supervision
